Project Co-Ordinator

As the Project Co-ordinator you will be the primary point of contact with both internal and external customers for the full range of administrative and supply chain activities including purchasing, resource planning, inventory management, forecasting and invoicing whilst also providing basic technical support and information in a fast paced, technical and target driven environment.
Key Responsibilities
Handle all administrative tasks in relation to the complete supply chain from customer order enquiry all the way through to final site installation and billing. This includes product sales and installations dealing with both external (retail operators, site personnel, Major Oil Company contractors) and internal (sales managers, project managers, engineers, finance, credit control, transport and logistics and other support personnel).
Support the customer with complete one stop shop for co-ordination of entire project from beginning to end including ordering of equipment, scheduling of sub-contractors, scheduling of engineers. This activity also involves regular changing of dates due to outside factors.
Provide financial summary of all open orders whether equipment sales or small or large projects to ensure an accurate monthly revenue forecast for the business. Responsible on daily reporting of any fluctuations in this forecast with detailed reasons for movement. Responsible for ensuring that all processes are conducted and completed to ensure work is cost effective and profitable. Manages tight deadlines for "just in time" delivery of all products to ensure inventory holding is kept to a minimum.
Relationships
Main contacts are with external customers such as retail operators, site personnel and Major Oil Company contractors for the purpose of administering all stages of enquiry and contracts. Internally contacts are with sales managers, engineers, credit control, and other support personnel for the purpose of giving and receiving information connected with managing customer relationships.
Measures of Performance
Well-maintained and up to date information, which demonstrate a sound grasp of the detail of quotations and projects through to the completed invoicing process.
Background and Skill
A technical aptitude which facilitates an understanding of technical terminology and the promotion and implementation of the Company's Health and Safety Policy, Arrangements and Management System.
Sound commercial background with knowledge of contractual commitments and legal requirements in a service operation. Current industry experience would be an advantage in understanding issues associated with construction sites and sub contractor requirements.
The successful applicant must be a good communicator, able both to listen intelligently and respond intelligibly both verbally and in writing with god analytical skills.
Must have a strong desire to provide excellent customer service.
