Team Assistant Role
Job Overview:
- Provide complete comprehensive secretarial support to the Departmental Head (including collation of Inputs for meetings).
- Deliver Secretarial service to the Departmental Team, co-ordinate and action all requests.
Arrange meetings and internal/external events, generate agendas, organise logistics, book equipment, etc. - Take meeting minutes and generate minutes.
- Act as a gateway to and from the department.
- Book flights, accommodation, transport, itineraries.
- Control holidays/absence records for the department.
- Liaising with callers and colleagues.
- Correspondence control.
- Communicate clearly and effectively at all levels within departments.
- Recording departmental attendance and overtime of staff.
- Participate in process improvement.
- Stationery supplies management.
- Maintaining and signing off of purchase requisitions on ABO system.
- Project activities: Maintain / manage Project open points (LOP) system, maintain and Co-ordinate Project boards (ensure content is current and follow-up dates are maintained).
Key Accountabilities:
- Covers a wide variety of administrative and organisational tasks.
- Confident, reliable, trustworthy and able to use initiative and discretion in dealing with commercially sensitive issues and information.
- Flexible in work outlook and open to change.
Qualification and Skills:
- Good organisation and planning abilities.
- High level of communications within the company as well as external (national/international) up to board level.
- Able to work under pressure to meet deadlines.
- To be self-motivated and able to make decisions without constant supervision.
- To be able to prioritise workload to meet deadlines.
- Organising the manager's diary, deciding which order of appointments suits best, which appointments to skip (via deputy) or to attend (up to a certain extend).
- Proven ability to author clear/concise English, strong written/verbal communications skills.
- Ability to work in German Language would be desirable.
- Well organised with the ability to work under pressure to meet deadlines.
- Strong team player who is self-motivated, reliable, trustworthy and conscientious.
- Willingness to develop and adopt new initiatives.
- PC software abilities including MS Office packages.
- PC communication abilities including use of networks, e-mail, SAP, etc.
- Flexibility to work extended hours.
- Excellent telephone manner.
- Requires calm and serious outlook.
- Ability to cope in a crisis situation.
