Position Description:

Legal Director Assistant and Company Secretarial Assistant



The position is as Legal Assistant to the three directors in the Legal Office and admin support to the director of BP Alliance/Sustainability.
This role requires a person with in-house legal experience with the ability to work in a busy team environment, unsupervised under their own initiative. The candidate must have discretion in handling business-sensitive highly confidential information. The ability to communicate in a confident manner with senior executives, external company advisers, trade and professional associations, governmental agencies, business partners, and lawyers representing claimants against our client. They must have excellent Word and Excel skills, a good telephone manner and a good general working knowledge of IT. Experience is essential in the preparation of board meetings and the drafting of minutes. The position is responsible for the organisation, gathering of agenda items, and preparation of the Director`s board meetings, filings at Companies House and maintenance of the corporate database.
Skills Required:

Assist Legal Staffs, including seconded external lawyers, with research and the preparation of advice and presentations. The legal assistant is responsible for the control and custody of our client s deeds, agreements and legal documents within the Company Vault and will need to liaise with outside counsel along with the Property and Security departments in the handling of these documents. The position is responsible for processing all invoice payments relating to legal matters. This involves communicating with the various clients requesting the legal advice, the Financial Controller`s office and the Accounts Department. As well as liaising with the law firms submitting the fees.



Experience Required:

Scanning documents; filing; good verbal and non-verbal communication skills; sorting incoming and outgoing mails; taking minutes; typing letters; good IT Skills such as Word for Windows, Excel, Access, Pegasus; GEMA database.
